This policy explains how Excel Security Services handles personal information collected through excelsecurity.ca. We follow Alberta's Personal Information Protection Act (PIPA) and, where it applies, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). We collect only what we need to answer you, and we never sell personal information.
Who we are
Excel Security Services is a security company based at 9738 51 Ave NW, Edmonton, AB T6E 0A6. We provide security services in Alberta and digital and IT services to clients in Canada and abroad. In this policy "we", "us" and "our" mean Excel Security Services.
What we collect
We only collect what you choose to send us, plus basic information about how the site is used:
- Quote requests: your name, company, email, phone number, the service and city you're interested in, your start date and hours, any details you add, and the page you sent the request from.
- Contact messages and the chat assistant's "leave your details" form: your name, email and/or phone number, and your message.
- Job applications: your name, email, phone number, city, experience, cover letter and resume.
- Technical information: when you send a form, our server briefly records your IP address to stop spam and abuse. Google Analytics and our own visit counter record the pages you visit (see Cookies and analytics).
Please don't send sensitive information we haven't asked for, such as health details, government ID numbers or banking information, through the website.
How we use it
- To answer your enquiry, prepare a quote or proposal, and follow up on it.
- To assess job applications and contact candidates.
- To deliver the services you hire us for and keep business records.
- To keep the website secure, prevent spam and fix problems.
- To understand which pages are useful so we can improve the site.
We use your information only for these purposes, or as the law requires or allows. By sending a form you consent to this use. You can withdraw your consent at any time (see Your rights and choices). We don't send marketing emails unless you've asked for them. Every marketing email includes a way to unsubscribe, as Canada's Anti-Spam Legislation (CASL) requires.
Who we share it with
We don't sell, rent or trade personal information. We share it only with the service providers that run parts of this website for us, and only as far as they need to do that work:
- Contabo, our hosting provider, runs the server that stores the website and the information you send.
- Google delivers our email notifications through Gmail and provides Google Analytics.
- Zoho hosts our company email (info@excelsecurity.ca).
We may also disclose information when the law requires it, for example in response to a court order, or to protect people's safety.
Where it is stored
The website and the information you send through it are stored on a secure server in the European Union, run by Contabo. Our email providers and Google may store copies in Canada, the United States or other countries. Information stored outside Canada is subject to the laws of that country, and authorities there may be able to access it. You can ask us about how we handle information outside Canada by contacting our privacy officer.
How long we keep it
- Job applications: resumes and applications from candidates we don't hire are deleted automatically after 180 days.
- Quote requests and messages: kept while we're in contact with you and for as long as we need them for our business, tax and legal records, then deleted.
- Spam-prevention records (IP addresses on form submissions) are kept only as long as needed for security.
Cookies and analytics
This site uses as few cookies as possible:
- Google Analytics sets cookies (named
_gaand_ga_…, kept for up to two years) to count visits and show which pages are viewed, the type of device and browser, and the approximate region a visit comes from. It doesn't tell us who you are, and we don't use it for advertising. You can block these cookies in your browser settings or with Google's Analytics opt-out add-on. - Our own visit counter records the page viewed, the site that linked to it and any campaign tag in the link. It uses no cookies and doesn't store your IP address; unique visits are counted with a code that changes every day.
- Your browser's session storage keeps your chat conversation and the choices you make in the quote builder while the tab is open. It stays on your device and is cleared when you close the tab.
We don't use advertising or social-media tracking cookies.
The chat assistant and WhatsApp
The chat assistant answers from information built into this website. Your questions stay in your browser and are not sent to us or to any outside AI service. Only if you fill in its "leave your details" form do we receive the name, contact details and message you enter, and we handle them like a contact message.
If you contact us on WhatsApp, WhatsApp (Meta) handles that conversation under its own privacy policy, and we receive the messages you send us there.
How we protect it
The site is served over an encrypted connection (HTTPS). Only authorized Excel Security Services staff can see what you send, through a password-protected admin area where each person has only the access their role needs, and every action is logged. Passwords are stored in a scrambled form that can't be read back. Resumes are stored outside the public website and can only be opened by signed-in staff. Backups are kept for recovery. No system is perfectly secure. If a breach creates a real risk of significant harm to you, we will notify you and the Information and Privacy Commissioner of Alberta, as PIPA requires.
Your rights and choices
- See it: ask what personal information we hold about you and how it has been used.
- Correct it: ask us to fix anything that is wrong or incomplete.
- Withdraw consent: ask us to stop using your information or to delete it, unless the law requires us to keep it. This may limit what we can do for you.
Email or write to our privacy officer (below). We reply within 45 days, as PIPA requires. If you're not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner of Alberta (oipc.ab.ca). If you live outside Canada, you may have extra rights under your local law. Contact us and we'll help.
Children
This website is meant for businesses and adults. It isn't directed at children under 16, and we don't knowingly collect their information.
Changes to this policy
We may update this policy when our website or the law changes. The date at the top shows the latest version. Important changes will also be noted on this page.
